Mail in Daylite changes how you manage email by bringing your inbox into Daylite and connecting every message with its relevant business data. Managing your email within Daylite allows you to work more efficiently, keeping you focused on what matters most: your clients, projects, and opportunities. With Mail in Daylite, email becomes part of the same system that powers your CRM, sales, and project management, helping you stay organized, act faster, and follow through with confidence.

The Message List

Daylite’s message list isn’t just a chronological stream of emails; it’s designed to cut through the noise that makes managing email overwhelming. In a typical email client, there is no distinction between critical emails amongst the noise of spam, newsletters, promos, etc., leading to missed opportunities and delayed follow-ups. Mail in Daylite changes that by identifying emails connected to your business and using colour and icons to make those important messages instantly stand out. And what truly sets it apart is the Priority Inbox, which highlights what’s related to your contacts and team members, keeping your focus on the relationships and conversations that drive your business forward.

Icons that Add Clarity

Mail in Daylite uses familiar visual cues to make your inbox instantly more informative:

  1. Daylite Contact Icon — Quickly identify emails from people already in your Daylite database, so you can recognize clients and leads right away.
  2. Daylite User Icon — See which emails are from your teammates who also use Daylite, keeping internal communication easy to spot.
  3. Unread Bead — Indicates which messages you haven’t opened yet.
  4. Attachment Icon — A simple paperclip shows when an email includes files.
  5. Conversation Count — Displays how many messages are in a thread, helping you identify ongoing conversations.
  6. Daylite Sun Icon — Shows whether a conversation has been added to Daylite. A half sun means only part of the conversation is stored in Daylite; a full sun means the entire conversation is linked and organized within your business data.
  7. Flag — Represents an email you have manually flagged.

Orange is used throughout the interface to highlight connections to your broader business context in Daylite.

Turn on Priority Inbox to instantly cut through the clutter and focus on what’s most relevant to your business. It surfaces the emails connected to your Daylite context, clients, prospects, and team members, and groups them so you can handle your most important messages first then move through the rest with greater clarity.

Priority Inbox organizes your messages into three smart categories that reflect how you work:

  1. Contacts in Daylite – Emails from clients, prospects, and anyone in your database.
  2. Daylite Users – Emails from your team.
  3. Flagged Emails – Emails you’ve personally marked for follow-up.
Your inbox, sorted by what matters most to your business.

By automatically organizing your inbox this way, Mail in Daylite helps you focus first on the conversations that matter most, not just the newest emails in your inbox.

The Message View

Once you open an email, the Message View allows you to see everything you need to understand the context and take action—all without leaving the message. Icons, colours, and integrated Daylite controls make it easy to move work out of your inbox and into Daylite, where it becomes part of your organized business workflow.

Daylite Controls: Turn Email Into Action

Embedded directly below the sender, recipients, and subject, the Action Bar puts the power of Daylite right where you read an email. From here, you can:

  1. Add to Daylite — File the email in Daylite by linking it to the client it is related to and making it part of their history.
  2. Create New — Instantly turn an email into a new task, appointment, sales opportunity, or project. For example, if an email is from a lead, immediately create both a task to follow up with them, and an opportunity to track the process, all directly from that email, so nothing falls through the cracks.
  3. Link to Existing — Connect the email to an existing project, opportunity, or client to keep related communication together.
Take action as you read — link, create, and organize right from the message.

The Action Bar makes it simple and efficient to turn email into structured, trackable work, without ever switching apps, or losing details.

Smart Suggestions: Context at a Glance

Daylite goes a step further with Smart Suggestions, which surface related sales opportunities or projects based on the email you’re reading. This gives you instant context on what the message is about and, with one click, link the email to the suggested item, keeping everything logically organized.

Inline Editing Controls: Keep Email Organized and Secure

Once you’ve added an email to Daylite, inline editing controls let you immediately categorize it, apply keywords, and set permissions. This makes it easy to keep your email organized by topic or workflow and to protect sensitive communication that should only be visible to certain team members.

Colours and Icons for Clarity

As in the Message List, orange icons highlight connections to Daylite, helping you spot linked items at a glance and just as easily identify related messages that haven’t been linked yet, so you can connect them with a single click. These visual cues carry through the entire Mail experience, reinforcing the connection between your inbox and the rest of your business data.

The Details View

When you view an email, the Details View appears alongside it, giving you instant access to every detail of the clients, projects, opportunities, tasks, and appointments related to that email. Instead of switching apps or searching for information, you can see the full picture right beside the email you’re processing.

With one click, you can load the details of related items like:

  • Contacts — Review client information, notes, and previous interactions, including their full Activity View.
  • Sales Opportunities — Check the current stage, value, or next steps, along with all related communication.
  • Projects — See progress updates, milestones, and linked tasks in context.
  • Tasks & Appointments — Review what’s scheduled or outstanding before replying or following up.

This connected context means less searching, less guessing, and faster follow-through. Daylite surfaces the information you need, when you need it, so every reply or decision is made with confidence.

When composing a new email, Mail in Daylite helps you work efficiently and stay connected to the bigger picture. Recipient fields include auto-complete, prioritizing your Daylite team members first and then your contacts, making it fast to address messages to the right people.

The familiar Action Bar is available here too, so while drafting a message, you can easily create a follow-up task, schedule a meeting, or link the email to a related item, ensuring nothing slips through the cracks.

And just like when viewing emails, the Detail View stays visible while you write, keeping your client’s context, recent activity, and upcoming work beside your message for easy reference.
